How It Works

Getting your documents notarised and apostilled can feel confusing – but it doesn’t have to be. At DigiNotary, we’ve streamlined the process so that everything can be handled securely online, without you needing to travel. From initial enquiry through to final delivery, we take care of the details and keep you informed at every stage.

Step 1 – Send Your Details

Start by submitting your request via our enquiry page.
Here’s what happens next:

  • We’ll review your request and confirm which service you need (notarisation only, e-apostille, or paper apostille).
  • You’ll receive a clear breakdown of the fee and timeline.
  • Once you confirm, we’ll provide a secure upload link to share your ID and documents.

This ensures everything is in place before your notary session.

Step 2 – Online Notarisation

Your notarisation appointment takes place by secure video call with our notary. During the session:

  • We verify your identity (checking photo ID and your presence on screen).
  • You either sign documents live during the call, or screen-share if you already have a saved digital signature.
  • The notary witnesses the act, records the details, and applies the official notarial seal.

You’ll receive a same-day digital PDF copy of your notarised document. If required, we’ll also prepare a paper copy for posting the next working day.

Step 3 – Apostille Legalisation

Once notarised, your document may need to be legalised with an apostille. This is handled through the UK Foreign, Commonwealth & Development Office (FCDO). You can choose:

  • Electronic Apostille (e-Apostille) – A secure digital certificate issued by the FCDO. Delivered by email within ~24 hours. Ideal for urgent international submissions.
  • Paper Apostille – An official stamp applied by the FCDO to the physical document.
    • Standard Service – 7–10 working days with tracked UK delivery included.
    • Express Service – 3–4 working days with priority handling.

Our team manages the entire process for you, ensuring that your documents meet the exact FCDO requirements before submission.

Step 4 – Delivery

Once complete, your documents are returned quickly and securely:

  • Digital documents (PDF notarisation or e-apostille) are sent directly to your email.
  • Paper documents are dispatched by Royal Mail Tracked 24 within the UK (included in the fee).
  • International courier delivery is available at cost for clients overseas.

This means you can receive your documents wherever you are in the world, with peace of mind that they remain secure throughout.
